Representative Coordinator – Head of Committee

The representative coordinator will provide administrative support in the following areas:

  • Liaising with Treasurer to set fees for representative teams
  • Keeping up to date with and advising of any rule changes from LL World, BNSW and Baseball Australia
  • Liaising with MWDBA Treasurer for purchase of uniforms
  • Ordering and packaging sales
  • Support the treasurer in completion of uniform and equipment stock takes
  • Compiling and rendering fees due by players, coordinating and liaising with treasurer on payment collections.
  • Update of social media

All Stars team management:

At the conclusion of the MWDBA representative regional team competitions, team selections are commenced again for the selection of MWDBA ‘All Stars’ representative teams. These teams are entered into the State Titles competitions and, if successful, to National Championships. Key responsibilities include:

  • Advertising for the management and coaching of MWDBA Representative teams
  • Coordinating the selection of team management and coaching staff
  • Announcing the appointments of team management and coaching staff
  • Setting, advertising and running of player trials for representative teams
  • Overseeing with the support of MWDBA representatives that trials are transparent and ethical in their selection process
  • Facilitating scrimmage games
  • Facilitate (with the support of team management) teams participation in State and National titles
  • Preparation of paperwork and lodging of signed documentation in support of teams at State and National titles
  • Attending State Titles – supporting teams and coaching staff
  • Liaising with tournament officials where necessary

Team Uniforms & Fitout

Once the representative squad has been chosen and published the representative coordinator will have responsibility for the following activities:

  • Uniform fitout of representative team players, coaches, scorers and supporters
  • Arranging fields, umpires and equipment to meet the needs of the teams
  • Sending information and collating signed documentation specific to the teams
  • Organise and holding team meetings at the start of season
  • Prepare and maintaining equipment
  • Purchase of equipment and balls as required

Competition and Events

There are a number of representative competitions that require setting and managing. These activities include:

  • Liaising with BNSW and applying for hosting rights for available competitions
  • Running and hosting tournaments at Aquatic Park eg. Rookies and Eagles Tournament
  • Purchase of canteen stock for home games and tournaments
  • Coordinating staff and overseeing the management of the canteen
  • Instruction on set up and pack up of grounds, canteen facilities and other support services
  • Banking of funds from canteen sales
  • Reporting and accounting to treasurer for banking and purchases
  • Assisting with Winter Development commencement and uniforms – where necessary

Coordinate the preparation of the end of season presentations. These activities include:

  • Booking venue and organising catering
  • Preparing running sheets and overseeing management
  • Ordering pennants and trophies, preparation of year book, collation of reports and photos and printing

Trials & Training

The Representative Coordinator will initiate the process that is responsible for the formation of the representative teams.  This includes the following tasks:

  • Advertising for the management and coaching of MWDBA Representative teams
  • Co-ordinating the process of selection of team management and coaching staff. Appointment of coaching staff is the responsibility of MWDBA
  • Announcing the appointments of team management and coaching staff
  • Setting, advertising and running of player trials for representative teams
  • Overseeing with the support of MWDBA representatives that trials are transparent and ethical in their selection process
  • Liaising with parents on expectations and rules of representative baseball
  • Provide literature to parents and players regarding Manly representative protocol
  • Coordinating team selections and announcement
  • Maintain records of all signed documents
  • Maintain code of conduct, recording any matters of interest for players, parents & coaches

Team selections are arranged and managed well before representative competition to ensure opportunity for player development and game scrimmaging. These activities involve:

  • Arranging scoring clinics and instruction to Executive Officer (EO) of requirements
  • Liaising with team manager and coach for training times and scrimmage games
  • Coordinate and schedule available grounds, liaising with grounds coordinator, Minor League and State League
  • Scheduling lights where necessary
  • Coordinating and scheduling with other clubs scrimmage games
  • Liaison with and coordinating umpiring staff for games as required
  • Attending home scrimmage games

Competencies and Knowledge

To facilitate the roles the following competencies are desirable:

  • Familiarity or experience in the representative process
  • Ability to be assertive but polite in the management of the processes
  • Strong communication skills
  • Awareness and understanding of BNSW events
  • Ability to influence and take the initiative to get results
  • Ideally some experience in social media
  • Good time management skills
